Facilities Manager

We are looking for an experienced Facilities Manager. The Facilities Manager manages the facilities/operations staff to deliver maintenance and operations services. Duties include overseeing the Property Coordinator, managing overall property operations, running routine safety inspections, corresponding with contractors and tenants, planning maintenance work, maintaining records, and supervising facilities staff. Our ideal candidate is well-versed in facilities management processes and exhibits high multitasking and organizational abilities. This position plays an integral role in the optimization of processes, managing resources, ensuring quality control, supporting key corporate strategies, ensuring effective collaboration with accounting and leading team members to achieve operational goals.
Essential Duties:
• Lead, motivate, and support the facilities/operations team within a time-sensitive and demanding environment.
• Oversee activities identified in property budgets and ensure they are completed timely, cost-effectively and with excellence.
• Collaborate in identifying potential problems and points of friction while finding solutions to maximize efficiency and revenue.
• Requesting bids from approved vendors.
· Ensure compliance with company policy, business and professional licensing, and state, and federal guidelines
· Oversee all aspects of building functions and ensure safety and functionality.
• Coordinate and manage the team's daily activities, including but not exclusive to, establishing work schedules, assigning tasks, and cross-training staff.
• Provide formal supervision to the facilities/operations team including training, career development plans, performance evaluations, and coaching.
· Support the development and implementation of training programs, business processes, and system training programs.
• Partner with other departments to support and implement organizational “best practices”.
• Facilitate the communication of policies, procedures, and initiatives to create consistency across the Facilities Team.
· Oversee the coordination of company staff functions, onsite client meetings, and office operations that support the organization’s goals and strategies.

Required Experience:
• Bachelor’s degree (or equivalent) in facilities management, business administration, engineering or a related field.
• 5+ years of well-rounded experience in the facilities industry.
• Ability to communicate professionally and articulately, verbally and in writing, with team members, tenants, vendors/contractors, and management.
• Excellent time management, problem solving and multitasking skills,
· Experience meeting project completion deadlines with detailed documentation.
• Proven Ability to Work Independently:
· Demonstrated experience in handling tasks and projects autonomously, displaying a strong record of accomplishment of completing assignments with minimal supervision while maintaining high-quality standards. This includes making critical decisions, managing time efficiently, and adapting to changing priorities without direct oversight.
• Proficient with Microsoft Office Suite (Outlook, Word, Excel, etc.).
• Experience with work order software and time tracking software preferred. Knowledge of Yardi is a plus.
• Ability and willingness to travel to commercial property sites within the metropolitan area in a personal vehicle.
• Must have a valid driver’s license and reliable transportation.

Working Conditions:
• Primarily working at corporate offices; will need to visit properties within the metropolitan area.
• Physical requirements include standing, climbing, walking, sitting, stretching, driving, and lifting upwards of 40 pounds.
• After-hours call availability for emergency building requests, on average 1-2 times per month, on rotation.
